Role Description

We are building a pool of highly capable General Virtual Assistants to support a range of clients across multiple industries, including home services, professional services, property management, engineering, and marketing agencies. This is a generalist administrative role designed for individuals who are highly organized, reliable, and capable of supporting day-to-day business operations.

While the exact responsibilities may vary depending on the client you are matched with, your work will revolve around administrative support, organization, and execution within a specific function or department. This is not a passive role — you will be expected to take ownership of tasks, maintain structure, and contribute to the overall efficiency of the business you support.

Requirements

  • Provide day-to-day administrative assistance to support smooth business operations.
  • Manage inboxes, organize files and documents, and ensure information is properly structured and accessible.
  • Assist in maintaining internal systems and processes for organized and efficient tasks and communication.
  • Monitor and manage inboxes, ensuring emails are sorted, flagged, and responded to or escalated appropriately.
  • Draft and send professional responses based on client guidelines, maintaining clear and organized communication.
  • Manage calendars, schedule meetings, and coordinate appointments across teams or stakeholders.
  • Ensure schedules are optimized, conflicts are minimized, and all necessary details are communicated clearly.
  • Maintain accurate and up-to-date records across spreadsheets, CRMs, or internal tools.
  • Ensure data is clean, organized, and consistently updated to support reporting and operations.
  • Help organize and maintain internal tools, platforms, and documentation.
  • Ensure systems are used consistently and workflows are followed across the team or department.
  • Track tasks, deadlines, and deliverables using project management tools such as Asana, ClickUp, Trello, or similar platforms.
  • Assist in ensuring that priorities are clear and tasks are completed on time.
